Kuester Management Group shares changes HOA boards can make to keep meetings on track and get more accomplished.
CHARLOTTE, N.C. - ncarol.com -- Board meetings are an integral part of running a homeowners association because that is where important decisions are made. However, it can be difficult to attract members to attend when meetings are disorganized and drawn out. Kuester Management Group has released a statement to the press regarding simple changes the board can implement to drive productivity and keep meetings on track.
"No one wants to sit through a long meeting where it seems as though nothing is getting done," says Bryan Kuester, President of Kuester Management Group. "Putting together a clear agenda that outlines the order of events and what will be covered can help improve the flow and focus conversations."
Board members should also prepare ahead of time so they are versed in the basics of each issue and can have meaningful discussions, says Kuester. Remember that only items on the agenda can be voted on, so quickly table conversations that are off track and put them on the list for the next meeting. The same applies if discussion around a specific topic has reached a stalemate. Agree to come back to it later when everyone has had time to process and rethink things.

Stick to a consistent schedule for meetings so that issues are addressed in a timely manner. It can be helpful to plan out meeting dates for the entire year so that members can put them on their calendars and make arrangements in advance to attend. Remember that if the HOA fails to achieve quorum, no official business can be conducted, so attendance is important.
"The board should also set clear procedures and expectations to keep meetings on track," says Kuester. "Limit the amount of time each member has to speak during open comments and make sure they know proper protocol. Keep control of the situation and invite members to submit questions or concerns in writing ahead of time for the board to review and respond."
Kuester Management Group works with HOAs across the Carolinas to hold more effective and productive board meetings, improve communication with members, enhance compliance, enforce rules, and much more.
